Description Performs a variety of clerical and administrative tasks for the Public Works Director and various Public Works Divisions. Works independently and as a team member with other department administrative staff, greeting residents and vendors, answering phones, processing accounts payable invoices, processing permits, and tracking service requests.
Examples of Duties ESSENTIAL JOB FUNCTIONS: - Inputs and reconciles accounts payable invoices. Coordinates with each Division and the Finance Department to ensure accuracy and timely processing of bills.
- Processes and maintains payroll records for the Streets/Fleet and Engineering Divisions. Responsible for coordinating timely input, review, and approval of time entry in the payroll system.
- Serves as a backup to other administrative staff.
- Provides administrative support to the Public Works Director by researching, obtaining, organizing, preparing, and distributing data, reports, memos, documents, and other duties.
- Updates content on the Public Works web pages and coordinates media releases with the City's Communications Coordinator.
- Maintains Public Works records archive and coordinates retention and disposal of records with the State of Illinois.
- Orders fuel for department vehicles. Prepares fuel usage reports.
- Serves as FOIA Officer to the Streets/Fleet and Engineering Divisions.
IMPORTANT JOB FUNCTIONS - Composes and/or prepares correspondence and/or reports for the Public Works Director and Assistant Director. Maintains inventory of office supplies and orders as necessary. Provides administrative support and assistance to the Department/Divisions and Superintendents as directed. Maintains records of fence permit variances.
Typical Qualifications Education and Experience: High school diploma; and, two years in a clerical position requiring customer contact, and computer use including word processing and spreadsheet software. Any combination of education, training and experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.
